 | Find a suitable venue. A busy shopping centre courtyard is the ideal
venue. Arrange with the management to use this area. We run our project for
three weeks. (This year we will run from Sat 25 Nov to Sunday 17 December.) |
 | Arrange for a big Xmas tree to be placed at the spot. The shopping
centre supplies our tree. |
 | Have wish cards printed. |
 | Appoint someone to man the table set up next to the tree. |
 | Arrange a duty roster for Rotarians to assist in manning the tree. Our
Rotarians do two-hour shifts. |
 | Contact charities to supply names, ages and gender for recipients of
gifts.
(We put a Rotarian in charge of the charity/institution. They contact them
and collect the names which are typed on a data list. We need all our names
by the end of October. |
 | We then type all the names on a data base and number each entry. |
 | All the wish lists are then completed (the charities can complete them
and return them to the club or the club members can do this at a work party. |
 | Gifts should not exceed R75 R100. |
 | All cards are numbered according to the data base. |
 | Punch holes in the cards and tie a ribbon on to hang them on the tree. |
 | The concept is for the customers to select a card from the tree,
purchase a gift and return it within 3-5 days wrapped. It is ticked off on
the data base and stored until distribution. We use a storeroom provided by
the centre. |
 | We have the details of all people who take cards and phone them if the
cards are not returned. |
 | Cash donations are used to buy gifts for cards not taken. |
 | The gifts are then sorted into charity groups and delivered to the
charities before Christmas. |
 | The Rotarian in charge of the charity is responsible for personally
handing the gifts to the recipients. |
