The deadline has now passed and yes, we have some 25 of your fellow clubs in the District not opting to celebrate this once in a lifetime event with us . Perhaps they will catch the vibe later and we hope it will not be too late. We are however, getting more and more excited about the prospect of guiding yourselves, the remaining 28 clubs nominating 35 teams, in 6 different Round Robin Tournament Areas culminating in knockout rounds.

The purpose of this mail is to ask the AG s on the address list to liaise with club Presidents to make the following crucial appointments in each club as soon as possible. Let me have their emails and I will add them to the list to assist you in some vital communications due in the next 2 months. These are:-

Guide CLUB Chairs as per duties below in regard to Operational Plan deadlines when available [by end Oct].

Co-ordinate AREA fixtures by ensuring effective timeous communication has taken place between TRAVELLING team re expected time of arrival at HOME team venue, directions, etc, etc.

Ensure venues being used by teams other than the HOME team usually playing at such venues, are equipped for play in their absence on the days shown on the fixture list.

Secure Soccer Fields and Linesmen [ Refs.to be provided by Organisers] Transportation & Accommodation [Latter not a guaranteed requirement at this stage]

Appoint a team coach from school/community/Rotary club Hold briefing/coaching/ team selection sessions in March prior to Tournament in Apr/May 2010

Liaise with opposition on fixture list being prepared as well as Organisers'  staff and Refs arrival ex Jhbg. Investigate willingness to host these officials over weekends. Fixtures will clarify requirements. Develop plan for meals.

Operational Plan will reveal more detail and time-lines, due approx end Oct. It is recommended that a personal Rotarian/s presence be assured at pre-arranged Bus/Quantam /Kombi departure point to ensure full team complement present and sobriety of all travelers assured, particularly the Driver.

Liaise with Clinics for "Spoon" Dehydration doses and lecture and other venues appropriate for Alcohol and Drug abuse/ Life Skills for weekdays during Apr/ May [ afternoons or holidays] Appoint facilitators, lecturer  or Rotarian volunteers. Operational Plan will reveal more soon.

It is recommended that clubs in close proximity combine the projects where feasible.

Clubs may want to vary the above structure and appoint one Committee under one Chairman. The key is to do take the whole exercise seriously and organise with precision and discipline as this is part of the mission, to show our constituents, ie the players we want to influence as positive role-models, that this is the way to organize and run our lives. It is a lot more than just letting them play soccer. They can do that anytime.

Finally, we plan to roll this out at Conference, but to expect all the above appointees to be on board may well be stretching it a bit, but hopefully your club will have at least one representative. Failing which, updates will appear on the Dist. Web site, with the Operational Plan, mainly for our proposed sponsors' benefit, will appear at the end of October.
